Public Sector Organisation

SAM managed service delivering £14m in annual savings

£14m annual savings through licensing optimisation

£12m licensing risk reduced to below £1m

15 major vendors reviewed through ELPs and OLPs

Introduction

The client was a public sector organisation that needed to improve its software asset management following software licensing issues. They engaged bedigital to deliver an SAM managed service supporting major contract renegotiations, cost optimisation and greater control of their assets.

The scope covered 15 major vendors, including IBM, Microsoft, Red Hat, Oracle and VMware, alongside software asset management tooling.

Their Challenges

The organisation needed a clearer understanding of its software licensing and usage positions to prepare for major contract renegotiations and address potential exposure.

Asset management also needed to be more closely integrated with day-to-day operational teams, supported by better data collection, management and reporting.

Their Objectives

The client’s objectives were:

  • Support the renegotiation of major vendor contracts.
  • Identify immediate cost savings.
  • Reduce licensing risk and strengthen control of the estate.
  • Improve the collection and reporting of asset data.

bedigital’s Solution

bedigital delivered a coordinated SAM managed service combining specialist vendor support, licensing optimisation and tooling implementation. The team worked with architecture, support and ITAM staff to identify licensing opportunities and integrate data collection into existing processes.

How bedigital delivered

Vendor support and optimisation

bedigital reviewed licensing and usage positions across 15 major vendors, establishing effective license positions (ELPs) and developing optimised license positions (OLPs) to support contract renegotiations.

Working with architecture teams, bedigital developed vendor-specific strategies to address exposure and realise savings.

Tooling implementation

Working with specialist tooling suppliers, bedigital implemented asset management tools, including Snow and IBM License Metric Tool (ILMT) across the estate. Integrating these tools into support team processes improved asset data collection, management and reporting while minimising collection overhead.

Challenges overcome

The initial ELP reviews identified approximately £12 million in licensing risk. Through collaboration with architecture teams and a detailed understanding of licensing opportunities, bedigital helped address this exposure while reducing costs.

Outcomes

  • £14 million in annual savings realised.
  • Licensing risk reduced from approximately £12 million to below £1 million.
  • 15 major vendors reviewed to inform contract renegotiations.

Benefits

The organisation gained greater control of its licensing position and better asset data to inform decisions. Integrated tooling minimised data collection overhead.

Conclusion

bedigital combined vendor expertise and ITAM tooling to deliver substantial savings, reduce licensing exposure and strengthen the organisation’s management of its technology estate.
